About the Conference

Conference Goals and Format


The Eastern States Conference for Pharmacy Residents & Preceptors is designed to provide pharmacy residents with the opportunity to:

  1. Formally present and discuss their residency projects and practice experience
  2. Interact and broaden their relationships with other resident colleagues
  3. Meet and learn from experienced leaders in pharmacy practice
  4. Augment their knowledge base as they embark upon their careers

The conference is divided into two groups due to the number of participating programs.  Each group has the opportunity to attend and participate in the various conference sessions including:

  1. A key note address/educational opening session
  2. Resident poster session with poster rounds on Monday evening
  3. A social reception with plenty of food and beverages, Think networking!
  4. Resident platform presentations scheduled throughout the days.

Registration and Deadlines


Preceptors must register for the conference by February 15th.  Preceptors registering after February 15, 2020, will incur a $100 late fee in addition to conference fees.


The preceptor conference registration fee is $225 and should be made electronically by following the links at the time of registration. If payment is occurring via check, all checks must be received by April 1st. A $100 late fee will apply for payments made after this date.

 Refund Policy

  • Refund requests must be made to the Conference Program Chair and will be granted if the request is received by March 1, less a $50 administrative fee. 
  • Refund requests received after March 1 will be granted if received by April 1, less a $100 administrative fee.  
  • Requests for refunds received after April 1 will not be granted.


Preceptor Roles & Responsibilities


Any residency program attending the conference to have their residents present research is expected to have at least one program preceptor or program director in attendance. The ESC Advisory Board feels this is an important expectation for programs in order to provide support for their residents, to assist with evaluating and moderating the presentations, and to provide opportunity for preceptor development.


Leading up to the meeting, program preceptors and program directors should encourage their PGY1 residents to submit their project for platform presentation and PGY2 residents to submit their project for poster presentation. In addition, any abstract submitted by a PGY1 resident, PGY2 resident, or fellow should be reviewed and approved by a program preceptor or program director. Information about the expectations for abstract submissions are located on the resident information page. 


In addition, all preceptors should expect to be assigned to serve as a moderator or evaluator at the Conference. Descriptions of the expectation of these roles can be found by reviewing the document links below. The schedule for preceptors, who will be evaluating and moderating the various sessions, will be available in before the Conference.  The Advisory Board members will make every effort possible to avoid scheduling conflicts between moderator/evaluator duties and your own resident presentations.  Resources for preceptors to learn more about the responsibilities of serving as a moderator or evaluator can be found below:

Preceptors requiring hotel accommodations must make their own arrangements. All attendees are encouraged to stay at the Hershey Lodge. Preceptor rooms at the Hershey Lodge will be available on a first-come, first-served basis at a discounted rate of $189/night (plus taxes and fees). This rate is available starting Sunday (April 26) through Thursday (April 30). Please contact the hotel directly if you wish to arrive early or extend your stay.

Recruiting Forum Information


During the Eastern States Conference, employers will also be able to advertise and talk to residents or fellows during conference breaks and lunches:

  • Monday, April 29 from 12:30pm – 1:30pm
  • Monday, April 29 from 4:00pm – 5:30pm
  • Tuesday, April 30 from 12:00pm – 1:00pm

PLEASE NOTE: The deadline for submission of all Recruiting Forum advertisements for inclusion on our website is April 13.  Ads may be in pdf or Word format, in color or black and white.

Industry Reverse Expo

For the second year, the Eastern States Conference will host a reverse exposition where pharmacists and pharmacy directors may meet with representatives from the pharmaceutical industry to discuss new products and programs available to hospitals and health systems. As part of the reverse expo, attendees are placed at a table or booth in a conference hall and representatives from various pharmaceutical companies come to you to discuss their product(s) in a time managed "speed dating" fashion. 

All preceptors, assistant directors, and directors or pharmacy are encouraged to sign up to be a part of the reverse expo. In addition to being an excellent venue to have thoughtful discussions about different products, it also helps keep conference prices as low as possible for participants and attendees.
