About the Conference


Conference Goals and Format

 

The Eastern States Conference for Pharmacy Residents & Preceptors is designed to provide pharmacy residents with the opportunity to:

  1. Formally present and discuss their residency projects and practice experience
  2. Interact and broaden their relationships with other resident colleagues
  3. Meet and learn from experienced leaders in pharmacy practice
  4. Augment their knowledge base as they embark upon their careers

The conference is divided into two groups due to the number of participating programs.  Each group has the opportunity to attend and participate in the various conference sessions including:

  1. A key note address/educational opening session
  2. Resident poster session with poster rounds on Monday evening
  3. A social reception with plenty of food and beverages, Think networking!
  4. Resident platform presentations scheduled throughout the days.

Registration information and key deadlines


Registration deadline: February 28, 2017

Finalized abstract upload deadline: April 1, 2017 by 10:00 PM

Resident Registration Fee: $395 due at time of registration (Credit card payment preferred)

Payments made via check must be received by April 1, 2017

There will be a $25 fee for returned checks

Payments made after April 1st and on-site incur a $100 late fee

Registrations after February 28th approved by conference chair incur $100 late fee

Registration Steps

  1. Create a website/meeting profile (this is required prior to registration)
  2. Identify your group assignment on the registration page
  3. Register for the meeting after logging in with your newly created profile
  4. Pay for your registration preferably with a credit card
  5. Upload finalized abstract to your meeting profile no later than April 1st at 10pm

 

Registering early has its benefits!

There are 400 available platform slots.  Those who register after all the platform slots have been taken MUST present a poster. 

 

Photo and Statement Release:  By registering for the Eastern States Conference for Pharmacy Residents and Preceptors you irrevocably grant and convey to the Conference all right, title and interest in and to record your name, image, voice, statements and/or writings including any and all photographic images and video or audio recordings made during the Conference. I further irrevocably grant to the Conference, its advertisers, customers, agents, successors and assigns, unrestricted rights to use the above mentioned sound, still, or moving images in any medium, including posting on the Internet and World Wide Web, for educational, promotional, advertising, or other purposes without limitation consistent with the mission of the Conference. I agree that all intellectual property rights to the sound, still, or moving images belong to the Eastern States Conference for Pharmacy Residents and Preceptors. I voluntarily waive the right to inspect or approve such images and waive my right to any royalties, proceeds or other benefits derived from such photographs or recordings.

 


Abstracts, posters, and platforms


 

Should I be presenting a poster or a platform?

 

The decision to present a poster or a platform session is one the resident should make after discussion with their preceptor and/or program director. Because of limited platform session availability, PGY-2 residents are STRONGLY ENCOURAGED to present a poster.

The Conference is limited to only 400 platform sessions. After all available platform sessions have been taken, any resident registering for the conference will be REQUIRED to present a poster.

 

Abstract Submission

All residents presenting either a poster or platform at the Conference are required to submit an abstract as part of their registration profile.  Residents are encouraged to submit their abstract as early as possible, but may have up to 10PM on April 1st to submit a final document.  


Residents must submit their abstract in a PDF document following the specified format in the link below. It is possible that abstracts may be returned or rejected if the recommended format is not followed.  Abstracts are submitted via uploading a PDF file to your conference "profile".  Please ensure the title of the document you are uploading contains no spaces in the name.

Platform session requirements

    • Only PowerPoint presentations will be allowed.
      1. Platform Presentation example is provided here
      2. All presentations MUST be PC compatible, No MAC
        • Bring your PowerPoint presentation (in version 2007) on a USB flash-drive.
        • Platform presentations are allocated 20 minute increments
        1. 15 minutes for presentation questions and answers
        2. The remaining 5 minutes allows the resident to meet with the evaluator and for the changing of speakers.

        Poster Session information

          • Poster session and poster review rounds will take place Monday, May 1, 2017
            1. Poster set-up begins at  4:30 pm (Moderators and Presenters only)
            2. Posters will be arranged in groups of 4-6, based on practice area
            3. Poster Review Rounds will take place from 5:00 – 6:00 pm
            4. Poster Review Rounds consists of each resident presenting a 7 minute overview of their poster to the moderator, evaluator and other residents in their group
            5. Each group member will complete an evaluation form:  Poster Evaluation Form
            6. Research preceptor or RPD of each resident presenting are also welcome to participate in Poster Review Rounds (space permitting). 
            7. Additional Poster Review Rounds information.
            8. Posters will be open to all attendees from 6:00 – 7:00 pm
            • Poster boards provided are 4 feet tall and 8 feet wide. It is recommended that your poster be sized slightly smaller than this (i.e., 3.5 feet x 7 feet).
            • Poster boards are Velcro and pushpin compatible. It is the residents responsibility to bring appropriate material for hanging their posters. Velcro and pushpins will not be provided by the conference.

            PGY2 Co-Evaluator Program

            All PGY2 residents will be scheduled to serve as co-evaluators for platform presentations.  The purpose of this initiative is to actively engage PGY2 residents attending the conference in the formal evaluation of platform presentations under the mentorship of a residency preceptor.

             

            The following 6 minute presentation concisely reviews the expectations of the formal evaluator specifically as it applies to the PGY2 residents serving in this role and the pharmacist preceptors who have been assigned to work directly with them.

            Lodging

             

            EXTREMELY IMPORTANT NOTES ON LODGING!!!

             

            • The Resident Conference registration fee includes lodging for the 2 nights you are assigned to the conference
            1. Please indicate at the time of registration if you do NOT require a room. 
            2. *The registration fee is fixed and will NOT be prorated for those residents not requiring a room and not consuming food provided by the conference.*
            • All residents are required to have at least one roommate. 
            1. Those who choose to room with significant others, family members, or other non-residents will be responsible for paying for their own lodging expenses (no exceptions).
            2. Residents must room with other residents attending the same conference group. 
            3. If you do not choose a roommate at the time of registration, a person of the same gender will be chosen for you by a member of the Eastern States Conference Advisory Board.
            4. Double occupancy is preferred, but residents may have up to 3 residents in each room.  Roll-away beds are not available. 
            5. Residents are required to provide a credit card at check-in for incidental expenses.
            6. Residents should NOT contact the Lodge directly with questions regarding their accommodations for the nights booked as part of their attendance at the Conference.  
            7. If residents wish to stay for additional evenings, they are responsible for making their own reservations by contacting the Hershey Lodge directly.
