GENERAL FAQ

What is the Eastern States Conference for Pharmacy Residents and Preceptors?

The Eastern States Conference for Pharmacy Residents and Preceptors serves as a forum for pharmacy residents from programs in Connecticut, Delaware, District of Columbia, Maine, Maryland, Massachusetts, New Hampshire, New Jersey, New York, Pennsylvania, Rhode Island, Vermont, Virginia, and West Virginia to present the results of their clinical research, and provides them with the opportunity to interact professionally with other resident colleagues and leaders in institutional pharmacy.


Where and when is it being held?

The 29th Annual Eastern States Conference for Pharmacy Residents and Preceptors will be held on April 28 - April 30, 2010 at the Hershey Lodge in Hershey, Pennsylvania.

Where can I get a copy of a W-9 for Eastern States to give to our financial department to facilitate payment to Eastern States?

Can I get a refund if my plans change?

Registration fees, minus a 10% processing fee, may be refunded if necessary prior to March 30, 2010 only.

How do I submit an abstract?

All abstracts should be submitted via the Resident Registration page by February 12, 2010.

All abstracts are required to be submitted utilizing the format specified. For additional information please refer to the "Abstract Guidelines" link found via the "Residents" tab or using the link below:

Should I be presenting a poster or a platform?

The decision to present a poster or a platform session is one the the resident should make after discussion with their preceptor and/or program director. Because of limited platform session availability, PGY-2 residents are STRONGLY ENCOURAGED to present a poster.

The Conference is limited to only 400 platform sessions. After all available platform sessions have been taken, any resident registering for the conference will be REQUIRED to present a poster.

For a platform presentation, is there any information on projection equipment, time limits, and other requirements?

Only PowerPoint presentations will be allowed.

Residents should bring their PowerPoint presentation (in version 2003 - you MUST convert to lower if using PowerPoint 2007) on a USB flash-drive. No MAC computers ill be available so all presentations MUST be PC compatible.

Platform presentations are allocated 20 minute increments;however, each presentation is not allowed more than 15 minutes which includes time for review of the self-assessment slide and questions. The remaining 5 minutes allows the resident an opportunity to meet with the evaluator and for the changing of speakers.

Are there any guidelines or information for poster presentations?

Poster boards provided are 4 feet tall and 8 feet wide. It is recommended that your poster be sized slightly smaller than this (i.e., 3.5 feet x 7 feet).

Poster boards are Velcro and pushpin compatible. It is the residents responsibility to bring appropriate material for hanging their posters. Velcro and pushpins will not be provided by the conference.

Where do residents send their registration fee for the Eastern States Conference?

Resident registration fees for this years conference are $350.

Checks must be made payable to 'Eastern States Conference for Pharmacy Residents and Preceptors' and sent to Amy L. Dzierba, at the following address:

The resident fee for registration is a total of $350. For those wishing to take advantage of this service, you must do so by following the prompts at the time of registration.

When are payments due for registration?

Timely submission of payments is greatly appreciated.
All payments for registration must be postmarked by March 30, 2010. Payments received that are postmarked after the March 30th deadline and all on-site registrations will incur a $100 ADDITIONAL FEE.
There will a $25 fee charged for all returned checks.

What does the registration fee for residents cover?

The $350 registration fee for residents includes the cost of the conference, the meals provided (breaks on all days, reception on Wednesday, breakfast on Thursday and Friday, and lunch on Thursday), the game night experience at Hershey Lodge, and lodging for Wednesday and Thursday night. All fees are flat fees that are not pro-rated/modified based upon consumption of food, attendance at mini-park, or use lodging (residents only).

What if I am from a new residency program or my site isn't listed in the "Affiliations" field of the registration form?

It's very important that all sites attending the conference be registered properly by using this "Affiliations" field. If your site is not listed please have YOUR PRECEPTOR or PROGRAM DIRECTOR contact the Program Chair, Evelyn Hermes-DeSantis, so that your site can be added.

As a Resident, How do I register for my room?

Hotel registration for RESIDENTS is provided through conference registration for Wednesday and Thursday ONLY. Residents must choose a roommate who is another resident attendee once the roommate selection process opens (between January 25 and February 12, 2010). This will allow you to select a roommate from registered residents. If a roommate is not indicated during this period, another registered resident of the same gender will be selected for you. Residents who choose to room with significant others, family members, or other non-residents, will be responsible for paying their own lodging expenses. There are no exceptions.

For 2010, we will have a new Roommate webform which residents will use to indicate their roommate(s) after the initial registration process has occurred. Roommate selection will begin on January 25, 2010 and close on February 12th.

PRECEPTOR FAQ

Where do preceptors send their registration fee?

The $175 fee for preceptors includes the cost of the conference, the meals provided (see above), the game night experience at the Hershey Lodge, and the ability to receive over 10 hours in ACPE credit. All fees are flat fees that are not pro-rated/modified based upon consumption of food or attendance at the game night.

What if I am from a new residency program or my site isn't listed in the "Affiliations" field of the registration form?

As a preceptor, how do I register for my room?

Preceptors register directly with the Hershey Lodge, by calling 1-800-HERSHEY. When registering Preceptors should specify they are making a registration for the "Eastern States Conference Preceptor Block - Group Reservation #34585." A special Conference rate of $175 per night is available for not only Wednesday and Thursday nights, but also for the 3 days before and after the conference to provide an excellent opportunity for everyone to stay in Hershey a few extra nights to enjoy Hershey Park and other area attractions.
